Pi’s Electronic Governance Service for Pensions
Pi's Electronic Governance Service for Pensions - Incorporating the ETB® and Trustee Workspace™
Designed, offered and continually developed by specialist pension scheme consultants, Pi's Electronic Governance Service for Pensions comprises two main solutions. The ETB® supplies a proven, secure extranet, tailored to help Trustees and pensions departments manage their pension scheme business, thereby easing the burden of daily governance issues surrounding occupational pension schemes. Trustee Workspace™ is a specialist online collaboration tool and further helps Trustees meet their regulatory requirements by providing an independent online forum for Trustee business, completely separate from the systems of sponsoring employers. It can be operated in tandem with ETB® or as a standalone solution.

Project Example - Leonard
A major organisation with a complex arrangement of six schemes all with different trustee bodies, all run differently. Both the trustees and the sponsoring organisation were looking for improved efficiency and governance and began to explore their options for electronic document management and a common information area. In the selection process the ETB® was rigorously tested by independent IT security experts for exposure to 'system penetration' from hackers and passed successfully.
Following appointment, Pi then worked closely with the in-house pensions team to make the initial and ongoing transfer of information as efficient and controlled as possible. Throughout the project we were aware that we were working with very busy people and needed to take into account their pressures, whilst not losing sight of launch target dates.
Having achieved a significant portion of the task, at one of the Trustees' regular training days, the Trustees participated in workshop training focusing on their own documents to increase their understanding of this new tool. In accordance with agreed timeframes, meeting papers are now made available to Trustees on line, via Pi’s updating service. Access levels for different groups of users have been set up to protect sensitive information whilst facilitating appropriate knowledge sharing.
Mid project, the proposed acquisition of another major business, encompassing several pension schemes, further complicated the issues being dealt with by the pensions team. The ETB® service was extended to provide a data room to assist both them and advisers in the due diligence requirements of this huge business acquisition.
